Basic Assignments El Camino YMCA, 29 hours per week, schedule to be determined.
Major Functions • Works with Director of Administrative Services (DAS) and program staff to develop and use consistent, member-friendly enrollment systems and registration forms consistent with Association procedures and requirements.
• Answers and routes incoming telephone calls.
• Registration: Develops and maintains records and files for program registrants.
• Rosters: Prepare sign-in rosters, weekly balance due statements, and other rosters as requested by site or program coordinators.
• Assists members, participants and others with YMCA program related questions.
Be familiar with registration procedures. Update registration records daily as needed. Confer with appropriate staff regarding questionable registrations.
Payment & Billing Records: Maintain accurate billing and payment records for each program by daily updating of records. Be familiar with payment procedures in order to verify accuracy of income received.
• Inputs data to computer system, which may include receipting, program registration data, membership data and campaign information..
• Remain current with program or department changes.
• Assist in general upkeep of the main office areas.
• Ensure that all business practices meet guidelines and deadlines in a timely manner.
• Trains all staff in the use of program enrollment systems and forms.
• Manages the receipting and recording of all program enrollments and related payments; ensures accuracy of all program enrollment records and data entry.
• Ensures collection of all appropriate program and membership fees.
• Works with Program Director to develop and manage program budget.
 
Qualifications • Experience in a similar position is preferred; work experience at a non-profit is helpful.
• Must be proficient in the use of personal computers & related software applications. Experience with desktop publishing software and website maintenance preferred.
• Strong communication (both oral and written) is required.
• Organizational skills and multi-task orientation are needed.
• Demonstrated capacity to work with a high degree of accuracy and attention to detail is a must.
• Ability to reason and problem-solve.
• General knowledge of office equipment (i.e. – fax machine, copier, printer, etc.).
• Experience with AS 400 preferred.
• An Associate’s or Bachelor’s Degree in a related field is preferred or a high school (or GED) with several years of experience may substitute for a degree.
• This position is considered to have a supervisory or disciplinary relationship over minors.
